Marketing and Promotions Coordinator

The Marketing and Promotions Coordinator works closely Marketing and Audience Development team and reports into the Growth & Acquisitions Director. This role coordinates all marketing promotional activities and also provides administrative support. This position provides a full opportunity to learn and grow in a fast-paced marketing team within the performing arts. Candidate has a strong service and customer-centric orientation in all approach in the position.

Responsibilities:

Media and Advertising

  • Proactively manage all day-to-day relationships with media vendors and coordinate all project and media deliverables for campaign planning and implementation and media buys including:
    • Maintaining radio production schedule, coordinating with radio stations and creative producer, working with DSO box office to deliver tickets for on-air giveaway and other contract deliverables and management
    • Facilitate digital advertising campaigns, coordinate project assets and deliverables for digital ad plans and manage day-to-day vendor relationships
    • Track, record, and analyze digital campaign wrap ups
    • Participate and contribute to marketing copywriting of emails, social media, website, and printed materials as needed
    • Proofread and copyedit marketing campaign materials as requested.

Promotions and Grassroots Marketing

  • Reports into and works in close alignment with the Director of Growth and Acquisition to maintain and track community and group partnerships for promotions and discounts; acquisition and audience growth; and audience diversity initiatives
    • Includes online research and execution of potential marketing partners and new audience targets. Reach out via email or phone to establish connections
  • Coordinates campaign implementation and grassroots marketing to specific communities for events. Includes identifying vendors; coordinating flyers and street teams; prepping digital promotion packages for community and venue partners; and other forms of niche marketing
  • Manage all aspects of the student and young professional membership programs, Soundcard and Next Gen with focus to drive participation and members
  • Plan and execute cross-promotions with local arts and cultural organizations; educational partners and universities; corporate partners and sponsors; coordinate list or email trades and third-party event listings as needed
  • Plan and execute promotions for comp tickets through established contacts and other targeted groups to reach concert hall capacity goals
  • Compile analysis of promotion success from partner discounts and make recommendations for future campaigns.

Administrative Support

Provide strong and proactive administrative support for the following:

  • Maintaining marketing timelines and supporting the department to meet its many production deadlines, update promotional plans, task calendars, and actively sending reminders to marketing staff.
  • Assist with ad hoc research projects for marketing, audience development, etc.
  • Assist the Audience Development Specialist maintaining a catalog of samples of all printed marketing materials
  • Track with precision all incoming invoices, accurately coding, submitting invoices for payment, and recording expenses for the marketing budget and communicating/reporting out regularly how the department is spending against budgets
  • Assist the marketing team with scheduling meetings and updating calendars
  • Provide vacation coverage for other positions in the department as needed.
  • Other general administrative duties as required
  • Answer general marketing inquiries: direct to and ensure responses by appropriate person in the team or provide responses directly
  • Work in alignment with and in support of all Marketing department goals and strategy.

Qualifications:

  • 1-2 years of work experience in marketing, public relations, or customer service.
  • Demonstrated proficiency with Microsoft Excel, Outlook, and Word including experience scheduling Outlook calendar meetings.
  • Excellent oral and written communication skills and attention to detail required.
  • Experience with multitasking and prioritization in a fast-paced environment required.
  • Support all brand standards and execute with best practices in mind.
  • An interest in marketing related topics and challenges required.
  • Experience with Tessitura or similar CRM/Marketing database preferred.
  • Understanding of marketing within social media marketing platforms desired.
